Hello, today AAMcourses is here to inform you about time management techniques. Previously, we discussed the problems of Time management in the article —, now we’ll discuss how to counter these problems and make time management more effective. 

First of all, we all know the importance of time. With time, the importance of time has been becoming more and more essential and known to us. We can safely assume that time is only going to become a more critical aspect in the near future. Even today, Time is an important factor. The main driving force for all the new inventions and innovation is time, everything is created with the purpose of saving time. 

For every generation, the techniques differ because their needs differ. For a college student, time management could be balancing work/college/friends life, whereas, for an adult in their 30’s, it could be related to work-life balance.

Depending on different needs, I’ve sorted out these time management techniques for you to use and be the master of your own time.

Firstly, the main force behind the success of any of these techniques is ourselves. We have to be disciplined enough that it is made sure that each of the steps are followed properly, then and only then can we expect a predicted outcome.

Now that we have cleared that up, let’s move onto the next part of discussing the time management techniques.

Prioritising tasks

A very basic and effective technique is to prioritise tasks according to their importance, urgency and effectiveness. If the task can be completed late, or have a vast deadline, you can probably push it down in your daily schedule.

You should be able to identify which task is more important, which task has the closest deadline to complete, or which task is the base for others and so on. You have to decide on the most important task first and then go on accordingly in descending order of their importance/urgency.

Smart work

Next idea on this list of Time Management Techniques is doing smart work. By smart work, I mean doing tasks that are easy with help of something that can automatically ease your work. Like using picture to text converters instead of typing up the whole thing again. Or as a student, you don’t have to customise your CV, instead you can find some website that can do it for free, like Canva, who provide already customised CV designs. 

Kanban Method

Originated in Japan, the Kanban is a work technique developed to boost productivity. In this technique, a software, white board or something is used to keep track of all the work so that you can be aware of the work done and the progress made in work. This helps us to be updated about what more work is to be done, how close or far we are from finishing up the project.

Knowing the progress can also be a great motivator to work. If we know how close we are, we are likely to work harder to finish it before time. If we are lagging behind, we will know what tasks are to be completed and we can prioritise them accordingly to complete the task in due time. 

Time Blocks

Now moving onto a trending technique in the list of Time Management Techniques. Time blocks are a method where we divide our day and day tasks into blocks. Each block has a target and task set up to be completed in the due time. This technique is introduced by none other than the hardest and craziest worker, Elon Musk.

This Method works in stages. The first stage is the planning stage, where tasks are defined and prioritised. In the second stage, you assign each task in blocks. This stage is where the action begins. And finally, the fourth and last stage is where all the work is reviewed, the time taken, quality, etc. so that the next schedule can be improvised accordingly. 

Delegation of Work

Another one of the Time management techniques for work is Delegation. Delegation the technique of branching out responsibility and authority to the respective team to complete the project together and saving time as the work is divided.

Usually, the responsibility and authority is branched out to a person who is specialised or has a substantial amount of knowledge in that certain field. If a person is skilled in IT, then they are to be given the IT department work of the project and so on.

1-3-5 technique

One of the most known Time Management Techniques is the 1-3-5 technique. As the name hints, in this technique the tasks are broken down or divided  into a 1-3-5 ratio. Which basically means, 1 big task, 3 medium sized tasks and 5 small tasks to complete the tasks.

The motive is that each type of task motivates you to move to the bigger target i.e. the completion of small tasks can motivate typo work on a bigger/medium sized target. The feeling of accomplishment is the main motivator and driving force here. 

80/20 rule or The Pareto Principle

The Pareto Principle is a technique invented by an Italian Economist, Vilfredo Pareto. According to this, 20% of the activities are the base for the 80% of the outcome. The main aim of this is to identify the most rewarding or important task and prioritise them accordingly. These are the 20% of the tasks that have the most impact on the outcome.

These are the 7 basic Time Management Techniques that you need to know and practice to manage your tasks and life in time, other Time Management Techniques can be considered secondary or advanced which we will discuss in another article.

The 4 D’s of time management are : “Do”, “Delay”, “drop” and “Delegate”.

What is the ABCD method in time management?

The ABCDE method represents tasks by A-B-C-D-E, assigning each letter to tasks. Each letter is assigned on the basis of the importance of the task. ‘A’ being the most important and ‘E’ being least.
